Connecting your email so Tsenta routes recruiter replies
Last updated
You don't need to connect anything for Tsenta to route recruiter replies. Tsenta gives your account a private inbox address, uses it on applications when your own email isn't connected, and matches the replies that arrive there to the right application in your tracker.
How reply routing works
- Your private address. Every account has one. You'll find it in Settings, under Email and inbox, labeled Private address.
- Forwarding. Mail to that address lands in your Tsenta inbox and is also forwarded to your account email by default. You can change where it forwards.
- Matching. Tsenta classifies application messages, links each one to an application, and moves the tracker stage for interviews, rejections and offers when the match is confident. See tracking every application.
- Replying. Read, search and reply from the Tsenta inbox. Replying from there keeps the conversation on the same address you applied with, so the employer recognizes you.
Verification codes and job alert emails are not linked to applications.
Connect Gmail or Outlook (optional)
Connecting your own mailbox does two things. Tsenta can pick up verification codes and links that some employer systems email you partway through an application, and it can put your own address on applications instead of the private one.
- In the web dashboard, open Settings, then Email and inbox.
- Select Connect Gmail or Connect Outlook.
- Sign in to that account and approve access.
- Check that the email on your Tsenta profile is the same address. Tsenta only puts your own address on applications when it matches the connected mailbox.
You can connect one provider at a time. Use Disconnect to remove it, or switch to the other provider.
Which address goes on your applications
| Your setup | Address on the application | Where replies arrive |
|---|---|---|
| No mailbox connected | Your private Tsenta address | Your Tsenta inbox, forwarded to your account email |
| Gmail or Outlook connected, same address as your profile | Your own address | Your own mailbox |
| Gmail or Outlook connected, different address | Your private Tsenta address | Your Tsenta inbox, forwarded to your account email |
When your own address is on an application, replies go to your own mailbox. The connection reads verification codes, not your mail, so update the tracker yourself for those replies.
Privacy
Tsenta stores application messages in your Tsenta inbox to link them to applications. The Gmail or Outlook connection is not a general mailbox import. The privacy policy has the access and retention terms.
Frequently asked questions
Why does my application show an email address I don't recognize?
That is your private Tsenta address. Tsenta puts it on applications when your own Gmail or Outlook isn't connected, so replies land in your Tsenta inbox, where they are matched to the right application. Mail to it is forwarded to your account email by default.
Will I still see recruiter emails in my normal inbox?
Yes. Mail sent to your private address is forwarded to your account email by default. You can change the forwarding address in Settings, under Email and inbox.
Does Tsenta read my Gmail or Outlook?
The connection is used to pick up verification codes and links from your applications and hand them to the agent. It is not a general mailbox import. You can disconnect it in Settings at any time.
Do I need to connect my email to use Tsenta?
No. Without a connection, Tsenta uses your private address on applications and routes the replies for you. Connecting is useful when you want your own address on applications or when a system emails you a verification code.
